COVID-19 Health and Safety Guidelines
Based on the government’s advice and guidelines, the studio have made some changes so we can all continue to operate and ensure everyone feels safe at the studios, including:
– Reduced studio capacity to increase space between visitors based on World Health Organisation guidelines and adhere to 2 metre distancing
– Increased sanitizing of surfaces in communal areas such as floors, door handles, toilet, sink areas.
– Sanitizing of all studio floors regularly and providing disinfectant wipes for clients to use before and after use of studios.
– Increased number of fans for ventilation, please use them accordingly and keep windows open at all times
– Staggered Entry for large groups
Please follow the instructions on hygiene and social distancing as displayed around the building to keep yourself and everyone safe. By attending a booking at Roberto Vivancos Studio you agree to abide by these rules.
BUILDING RULES
- Use hand sanitizer upon arrival, and regularly throughout your time with us. Ideally bring your own to reduce contact with our dispensers, but we do have them located on the ground floor by the entrance, as well as reception and on the 2nd floor.
- Everyone must wear face masks when entering the building, and when in common areas at all times. Don’t touch your face or mask while wearing it. Change your mask if it gets damp or you’ve touched it.
- Wash your hands thoroughly with soap and water for 20 seconds or use hand sanitizer before putting your mask on.
- To maintain 2 metres distance, please adhere to the floor marking at reception and other parts of the building, if there’s a flow of people coming down the stairs, please use the waiting area in the ground floor before going upstairs.
- The lounge/communal seating area is only to be used for staggered entry and as an exit buffer to minimize proximity with people. If there are more than 2 people in the lounge please wait outside at an appropriate distance.
- Arrive at your allocated time and not before. Early arrivals will be required to wait outside.
STUDIO USE RULES
- We have implemented a 30min buffer time in between bookings to allow our staff to clean the studios after each use. This is not for early access.
- Before starting your booking please take one disposable wipe from the make up area to wipe surfaces before using the studios for your peace of mind.
- There are cleaning products provided in the studio- please use them on all surfaces you touch- including stands, strobes, tables and floor. This is to help protect our staff. Please throw away the disposable towels in the bin.
- If the maximum studio capacity has been breached, or if any one in the booking has Covid 19 symptoms you will be asked to leave and no refund is eligible.
- Cover your mouth with a tissue to cough or sneeze, and throw used tissues in the Covid 19 bins. Use hand sanitizer immediately afterwards.
- Whilst in the studios and anywhere in the building please not share equipment such as paper, pens, tripods.
At the end of your session, please wipe down any areas, objects that you have touched with your hands, disposable wipes are available at make up station.
As a booker and visitor to our studios, you agree to take full responsibility for your personal health, hygiene and assuring the safety of others in attendance, including high risk participants.
We strongly advise that those deemed as high risk to avoid attending the studios.
Attending is at your own risk and all visitors must wear masks at all times in communal areas, and wipe surfaces in the studios using the products provided, as described above.
Our staff will be in charge of maintaining cleanliness around the communal areas. We are cleaning the studios between each use but also ask you to help protect our staff as well by wiping surfaces before and after studio use.
COVID 19 GUIDELINES
Staff, visitors and clients who are unwell with following symptoms of Coronavirus (Covid-19) should not attend the studios. If you have any of the following symptoms DO NOT enter the building.
Please note that we have the right to refuse entry to anyone using/booked to use the studios if you have Covid19 symptoms, and no refunds will be eligible.

a high temperature – this means you feel hot to touch on your chest or back (you do not need to measure your temperature)

a new, continuous cough – this means coughing a lot for more than an hour, or 3 or more coughing episodes in 24 hours (if you usually have a cough, it may be worse than usual)

a loss or change to your sense of smell or taste – this means you’ve noticed you cannot smell or taste anything, or things smell or taste different to normal
To protect others, do not go to places like a GP surgery, pharmacy or hospital if you have any of these symptoms. Stay at home and self isolate for 14 days.
If you have symptoms and have a booking with us, please contact the academy as soon as possible.
If you have recently travelled or come back abroad, please self isolate for 14 days before attending the studios.

While you visit our site, we’ll track:

Google Web Fonts
For uniform representation of fonts, this page uses web fonts provided by Google. When you open a page, your browser loads the required web fonts into your browser cache to display texts and fonts correctly.

Headshot and Portfolio shoot bookings
Payment
- Must be completed on the day by Cash, Bank Transfer or Credit or debit Card.
- If you need a bank payment reader or device to complete an online transfer please ensure you have this with you.
Deposit
- Your deposit is taken to hold a space in the diary which could otherwise be booked by other clients.
- Deposit is taken off the final price, it’s NOT an additional charge.
- In order to secure the session please remember to pay the deposit.
Your session will NOT be booked until the deposit is paid.
Changes to your booking
- If you would like to alter the date or time of your session or reschedule please e-mail us on hello@robertovivancos.com to discuss alternative dates.
- Your deposit can be used towards the new booking.
If you give less than 24 hrs notice to any changes with your booking, your deposit will be lost.
Cancellations
- You can cancel your session up to 24 hours prior to the booking date

Time of arrival
- Please don’t arrive too early for your shoot, 10 – 15 minutes at most.
- If you arrive too early we may not answer as we will probably be with another client, on our way to the studio or on a break.
- Do not arrive late, your session starts at the time you have made the booking.
- Sessions can’t run overtime as there will be another client waiting after you.
Edits & retouches
- Please be aware that the number of final edits you will get is determined by the package you purchased.
- You may purchase additional edits should you require.
- Any unauthorized alterations, edits or filter treatments to our final work is not permitted. If you require an alteration or additional editing, please contact us.
Studio Hire
Payment
- Must be paid in full when booking the studio, Additional extras like Colorama backdrop or lighting equipment can be paid on the day by Cash, Bank Transfer or Credit or Debit Card.
- If you need a bank payment reader or device to complete an online transfer please ensure you have this with you.
Changes to your booking
- Guests may reschedule their Booking of studio hire up until 24 hours prior to the booking date. If you would like to alter the date or time of your booking please e-mail us on hello@robertovivancos.com to discuss alternative dates.
Cancellations
- Guests may cancel their Booking until 7 days before the event start time and will receive a full refund (including all Fees) of their Booking Price.
- Guests may cancel their Booking between 7 days and 24 hours before the event start time and receive a 50% refund (excluding Fees) of their Booking Price.
- Cancellations submitted less than 24 hours before the event start time are not refundable.
Rules of the space
- Booking starts at scheduled booking appointment time not at time of arrival.
- Setting up, packing, cleaning up and leaving the premises must be done within scheduled booking time.
- Exceeding your booking time will incur in additional hour charge.
- Entourage maximum of 8 people (unless prearranged).
- No drugs allowed on premises.
- No Children on set (without consent).
- Equipment package is optional and charged per hour.
- Colorama backdrops are charged per metre when used on the floor.
Model Release
You, the (“Model”) hereby grant to ROBERTO VIVANCOS (“Photographer”), the Photographer’s assigns, and those persons acting with the Photographer’s authority and permission, the right to take and create photographs/videos and other still and/or moving images (in all formats) and other graphical depictions incorporating my likeness, in any and all media, whether now known or
hereafter created (the “Content”).
I hereby agree that all rights in and to the Content, including the copyright, are and shall remain the sole property of the photographer, free and clear from any claims by me or anyone acting on my behalf.
The Photographer’s rights include, but are not limited to, the rights, in perpetuity, to: Use, re-use, publish, and re-publish the Content; Alter, modify or otherwise change the Content in any manner the Photographer desires; Combine the Content with textual matter and/or with other pictures and/or media; and, Use the Content for illustration, promotion, art, editorial, advertising, trade, publishing, or any other purpose whatsoever.
I hereby release, discharge, and agree to hold harmless the Photographer, the Photographer’s heirs, legal representatives and assigns, and all persons acting under the Photographer’s authority or those for whom he/she is acting, from any liability by virtue of any use of the Content or any changes or alterations made thereto.
I hereby warrant that I am of full legal age and have the right to contract in my own name. I have read the above authorisation, release and agreement, prior to its execution, and I am fully familiar with the contents thereof. This release shall be binding upon me and my heirs, legal representatives and assigns.
